Questions to ask before hiring a dispatcher
Use the same questions with every provider. Written answers make the comparison easier and expose gaps before the first load.
What exactly is the fee charged on?
Ask for a worked invoice showing linehaul, fuel, accessorials and the dispatch charge. Clarify weekly minimums, idle weeks and self-booked loads.
Do I approve every load before it is booked?
Ask how approval is recorded and what happens when you decline. Define the carrier’s rate, lane and schedule limits.
Who will answer when something goes wrong overnight?
Ask for the coverage hours, backup contact and escalation process. An advertised 24/7 number does not define who can resolve an issue.
How do you check a broker before booking?
Ask what information is reviewed, when it is refreshed and how factoring eligibility is confirmed. Determine who makes the final acceptance decision.
Will I receive the original rate confirmation?
Confirm that all agreed amounts and terms are visible to you. Ask where documents are stored and how you retain access after ending the service.
Who receives the freight payment?
Map the flow from broker to carrier or factor and then the separate dispatch fee. Ask who handles disputed or overdue amounts.
What happens when detention, layover or cancellation occurs?
Ask about documentation, pre-agreed terms and follow-up responsibilities. Recovery depends on the agreement and evidence, not just a posted recovery rate.
How do we end the agreement?
Check notice periods, penalties, open-load obligations and document handover. Resolve these questions before signing.
Bring the answers back to your operation.
Compare service scope, not just price. Ask for examples relevant to your equipment and lanes, and distinguish documented results from sales claims.
